General terms & conditions

 

ARTICLE 1

These general terms and conditions apply to the registration and further proceedings of the event “LA CANNIBALE” organized by BIDEBIKE vzw, hereinafter referred to as “BIDEBIKE.”
Registrations can only be made online after creating a personal account via www.lacannibale.com.

Before online registration, the participant must read and explicitly accept these general terms and conditions, as well as the applicable house rules (privacy and code of conduct) which can be consulted at www.lacannibale.com. These house rules also apply during the event.

INFORMATION OBLIGATIONS AND NOTIFICATIONS

ARTICLE 2

For the registration to proceed correctly, it is necessary for the participant to provide accurate and requested information to BIDEBIKE, under their responsibility. The participant must provide correct information during the online registration process.

The recommended minimum age for participants is 18 years on the day of the event. The absolute minimum age is 15 years. Participants under 18 years old must be accompanied by an adult. For ages between 15 and 18, explicit written parental consent is required. This consent must be sent via info@lacannibale.com. The registration is only final upon receipt of this consent. In any case, parents remain responsible for the participation and for providing the correct information.

ARTICLE 3

Before participating in La Cannibale, we encourage every participant to undergo a medical fitness check.

INSURANCES

ARTICLE 4

Each participant is responsible for insuring themselves as a good householder.

BIDEBIKE offers an optional repatriation insurance to all participants for 15 EUR. The participant can opt for this insurance during the registration process. Participants can insure the cost of their participation (only the event registration fee, excluding travel and accommodation costs). The cancellation insurance guarantees reimbursement of the registration fee in cases specified in the policy.

BIDEBIKE’s partner Ethias also offers insurance for sport accidents to all participants residing in Belgium. This is included in the registration fee.

CHANGE OF CHALLENGE/PARTICIPANT

ARTICLE 5

BIDEBIKE offers a range of challenges for which a participant can register via the website www.lacannibale.com.

Participants can exchange their challenge for another, either a downgrade or an upgrade. A switch between cycling and walking or vice versa is also possible. The registration can also be transferred to another person.

An administrative fee of 25 EUR will be charged for changes. Requests for changes must always be submitted in writing via info@lacannibale.com.

In case of a downgrade, there is no refund of the price difference. In case of an upgrade, the cost of the new challenge must be paid. The exchange of challenge and participant is possible until June 27, 2025. After April 30, 2025, the exchange of the originally ordered walking or cycling shirt (as well as the frame plate and race number) is no longer possible.

CANCELLATION BY THE PARTICIPANT

ARTICLE 6

Refunds are not possible in case of cancellation of participation. The only exception is cancellation by participants who have taken the optional cancellation insurance mentioned in Article 4.

CANCELLATION BY BIDEBIKE

ARTICLE 7A

If BIDEBIKE cancels any of the rides, walks, or climbs before or during the event due to force majeure or an external cause, the participant will be notified as soon as possible. Force majeure refers to circumstances outside BIDEBIKE’s control that prevent it from fulfilling its contractual obligations, such as weather conditions, disasters, government-imposed decisions, etc. Weather conditions around Mont Ventoux can include extreme and unpredictable wind, rain, cold, heat, hail, etc. Bad weather is part of the sport, but if it endangers the participants’ safety, extreme measures may be required, such as partially or fully banning the Mont Ventoux climb.

In the event of such a cancellation by BIDEBIKE, the registration fee will not be refunded, either partially or in full.

ARTICLE 7B

For all challenges, time limits will be set at various points, after which further participation will be mandatory interrupted. These time limits will be clearly communicated. Ignoring these limits is entirely the responsibility of the participant, who will no longer be supported by the organization (aid stations, medical and technical assistance, etc.).

PARTICIPANT’S LIABILITY

ARTICLE 8

The participant is liable for all damage resulting from non-fulfillment of their contractual obligations. The participant is also liable for all non-contractual damage caused by their actions, including (moral and/or material) damage to third parties, third-party property, or BIDEBIKE property.

If the participant’s behavior or actions jeopardize the safety or integrity of BIDEBIKE, its staff, guides/volunteers, or other participants, BIDEBIKE has the right to immediately exclude the participant from further participation, without entitlement to compensation or reimbursement of part or all of the participation fee and selected options. All associated costs are the responsibility of the participant.

BIDEBIKE’S LIABILITY

ARTICLE 9

BIDEBIKE is required to fulfill its contractual obligations unless:

Force majeure or an external cause occurs.
A participant or a third party is responsible for the failure to fulfill the contract.
Unless one of the above exceptions applies, BIDEBIKE will compensate the damage in the event of a breach of its contractual obligations, provided the participant can prove fault, damage, and causality.

COMPLAINTS PROCEDURE

ARTICLE 10

Complaints must be submitted in writing to BIDEBIKE within 8 days from the occurrence of the incident the complaint relates to. The complaint must either be sent by registered mail to BIDEBIKE, Heiberg 7, 2200 Herentals (BE), or by email to info@lacannibale.com. Complaints submitted to BIDEBIKE after this 8-day period will be deemed inadmissible.

PRIVACY REGULATIONS

ARTICLE 11

If you wish to participate in the LA CANNIBALE event, BIDEBIKE will process your personal data. BIDEBIKE complies with the provisions of the General Data Protection Regulation (GDPR). If you need more information on how BIDEBIKE processes your personal data, you can read our privacy statement on www.lacannibale.com. Any individual who does not wish this or has questions should notify us via info@lacannibale.com.

IMAGERY

ARTICLE 12

By registering for La CANNIBALE, the participant gives BIDEBIKE permission to take and publish photos and other visual material for reporting and imagery related to this and other BIDEBIKE campaigns. Any individual who does not wish this or has questions should notify us via info@lacannibale.com.

MOBILE PHONE USE

ARTICLE 13

The participant’s provided mobile number will only be used during the event for event-related communication.

AMENDMENT OF THE GENERAL TERMS AND CONDITIONS

ARTICLE 14

BIDEBIKE reserves the right to change the general terms and conditions at any time. Any changes will be communicated to the participants in writing.

WALKING AND CYCLING SHIRTS

ARTICLE 15

Wearing the La Cannibale cycling and walking shirt is strongly recommended during the event. BIDEBIKE aims to unite participants and create a sense of unity. Wearing the shirt is an important means to achieve this. It also results in beautiful photos and contributes to the recognition and safety of participants.

Each participant is responsible for selecting the size of their walking and cycling shirt. Once the size is final and submitted, it cannot be changed. BIDEBIKE advises all participants to carefully consult the size charts on the Bioracer partner website.

The cycling and walking shirts must be picked up physically during check-in at the Village Cannibale the day before the event. Only participants who order additional cycling clothing by April 30, 2025, will receive their cycling and walking shirts by mail with a shipping fee.

In the case of no-show, the right to the cycling or walking shirt is forfeited.

COMPETENT COURT

ARTICLE 16

Any disputes concerning LA CANNIBALE will be settled by the competent court of the Turnhout district (BE).

 

Privacy statement

CONTENT

BIDEBIKE values your privacy and makes every effort to protect it by ensuring that your personal data is processed in an appropriate and secure manner.

When you register for LA CANNIBALE, you provide us with personal information such as your name, gender, date of birth, address, etc. This information, individually or in combination, allows us to identify you. This information is considered your personal data.

This privacy statement applies to the personal data that BIDEBIKE collects about you to ensure your participation in LA CANNIBALE in a medically responsible, legal, and appropriate manner, and to improve or promote the event.

This privacy statement outlines the following:

PERSONAL DATA WE PROCESS

BIDEBIKE processes all personal data about you because you register for LA CANNIBALE and provide us with this information, as well as your participation in the event.

BIDEBIKE also processes the following special and/or sensitive personal data: Health data, in case a medical intervention is necessary, and possibly an insurance file may be opened.

WHY WE NEED DATA AND HOW WE USE IT

BIDEBIKE needs your personal data to identify you individually. Your registration for the event is, from a legal perspective, the conclusion of an agreement.

BIDEBIKE requires this data to know with whom it has entered into this agreement and to execute the agreement accordingly.

BIDEBIKE places great importance on medically responsible sports. For this reason, we also process personal data that allows us to assess whether this goal is being achieved.

BIDEBIKE also wants to inform you about relevant information for your participation in the event. To reach you directly by post, phone, or electronically (e.g., via email or SMS), we process your personal data.

BIDEBIKE has legal and contractual obligations towards third parties involved in the organization of the event. To ensure optimal organization, these third parties must receive all relevant information. BIDEBIKE will pass on relevant personal data to ETHIAS and other insurance companies for the purpose of concluding various insurance policies (including optional insurance).

BIDEBIKE also seeks to promote LA CANNIBALE, as well as generally boost the sale of its products and services. Your image may be used in publications about LA CANNIBALE or for other BIDEBIKE campaigns. If you do not prefer this, you should inform us at info@lacannibale.com.

BIDEBIKE never sells your data to third parties and will only provide it if necessary for the execution of our agreement with you or to comply with a legal obligation. We conclude data processing agreements with companies that process your data on our behalf to ensure a similar level of security and confidentiality. BIDEBIKE remains responsible for these processes.

BIDEBIKE uses technical, functional, non-functional, and analytical cookies. A cookie is a small text file stored on your computer, tablet, or smartphone when visiting the website. The cookies we use are necessary for the technical functioning of the website and your convenience. They ensure that the website functions properly and remember your preferences. We can also use these cookies to optimize our website. Additionally, we use cookies to improve or promote LA CANNIBALE. YOUR RIGHTS

To ensure that the request for access is made by you, we ask that you send a copy of the front and back of your ID card with the request. Please black out your photo and social security number (RR) for privacy protection. BIDEBIKE will respond to your request as soon as possible, but at least within one month.

HOW WE STORE THE DATA

BIDEBIKE will not store your personal data longer than strictly necessary to achieve the purposes for which the data was collected. If your personal data is no longer needed, it will be deleted, but no later than 48 months after providing the personal data. BIDEBIKE takes the protection of your data seriously and has implemented appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. If you believe that your data is not properly secured or there are indications of misuse, please contact us at info@lacannibale.com.

DATA FROM PERSONS UNDER 15 YEARS OLD

Participation in the event is only allowed from the age of 18. Our website and services do not intend to collect data from visitors under the age of 15, unless they have consent from their parents or guardians. However, we cannot verify whether a visitor is over 15 years old. We encourage parents to be involved in their children’s online activities to prevent data from being collected without parental consent. If you believe we have collected personal data from a minor without that consent, please contact us at info@lacannibale.com, and we will delete this information.

By using our website or sharing your data, BIDEBIKE is legally required to process your data in a lawful, fair, and transparent manner. Code of conduct

CYCLING & WALKING JERSEY

Wearing the La Cannibale cycling and walking jersey is strongly recommended during the event. As an organization, we wish to connect people, and wearing the jersey with the bib number and first name pinned on it is an important tool to achieve this. Additionally, it provides beautiful photos and contributes to the recognition and safety of the participants.

BEHAVIOR ON PUBLIC ROADS

Strictly follow the local traffic laws and all road code rules.
Avoid noise, mainly after 10 PM.
Park only in designated parking spaces.
Never ride under the influence.
Do not hang flags or posters on buildings without permission.
Do not use support vehicles.

RESPECT FOR NATURE

Do not leave any waste behind and store your own waste from bars and gels.
Fully use the trash bins.

RESPECT TOWARDS THE LOCAL POPULATION

Always use the toilets and avoid local gardens and walls.
Find a proper place to park your bike.

RESPECT TOWARDS THE MERCHANTS

Always be polite and calm.
Realize that we are only visitors and need the merchants more than they need us.

SAFETY MEASURES FOR CYCLISTS

The event is not a race, and the roads are publicly accessible and not closed, so all road code rules are applicable.
Respect other road users.
Take a break on time.
Always wear a helmet while cycling. No helmet = no insurance.
Keep right and ride a maximum of two cyclists next to each other.
Adjust your speed.

SAFETY MEASURES FOR WALKERS

Always stay on the paths.
Always keep dogs on a leash.
Follow the rules of the local managers of the nature reserve.
Make the event an unforgettable party for everyone! Those who participate in La Cannibale on and around the Kale Berg commit to follow the code of conduct. BIDEBIKE strives for ‘Sustainable Tourism’, respect for people, the environment, and the culture of the host region.
